Vermont Free & Referral Clinics

A secure patient database built around how each clinic works

The challenge

Vermont Free & Referral Clinics is a statewide network of free and referral clinics. Member clinics logged every patient interaction in a custom web database that was more than ten years old. It no longer met HIPAA or modern security standards and couldn’t be safely maintained. The same data drives the grant reporting that keeps the network funded, so replacing it was urgent, but it had to fit a nonprofit budget.

What IGD did

We met with the member clinics to learn how each one used the old system differently. Then we built a new platform around their actual workflow, not a new version of the old software. It’s flexible enough to adapt to each clinic, and it tracks every patient interaction for grant reporting.

We also worked within their budget cycle. Each year we help them get the most from the current budget and plan upgrades for when funding is available, instead of asking for one large contract up front.

The results

  • A secure system that meets HIPAA and current security standards
  • Lower annual maintenance costs than the system it replaced
  • Staff save time on every patient entry and every grant report
  • Smooth adoption, since the system was built around how the clinics already work
